The Sign Pad ("we", "us") operates the ordering platform at shop.thesignpad.com. This page explains what we collect, why, and what we share with third parties.

What we collect

  • Contact information you provide (name, email, phone, billing and shipping addresses).
  • Order history (products, sizes, quantities, prices, dates, shipping method, payment method).
  • Artwork files you upload for printing.
  • Session cookies needed to keep you signed in and to remember your cart.
  • Server logs (IP address, request path, user agent) for troubleshooting and abuse prevention.

How we use it

  • Fulfilling your orders (proofs, production, shipping, invoicing).
  • Customer support related to your orders.
  • Order confirmation, proof approval, and shipping notification emails.
  • Internal analytics on order volume, product mix, and turnaround.

Third parties we share with

We share the minimum data needed to deliver service:

  • QuickBooks Online (Intuit) - invoice records: customer name, billing address, line items, totals. No artwork files leave The Sign Pad for QuickBooks.
  • Cloudflare R2 - storage of uploaded artwork and rendered proofs.
  • Google Workspace SMTP - transactional email delivery (order confirmations, proof emails).
  • Shipping carriers (Canada Post, FedEx, Purolator) - shipping addresses and tracking metadata for orders you ship.

We do not sell your data, and we do not use it for advertising targeting.

Retention

Order and customer records are retained for accounting and warranty purposes (7 years, the standard retention period for Canadian business records). Artwork files are retained for reorder convenience. Session cookies expire when you sign out.

Your rights

You may request a copy of the personal information we hold about you, request corrections, or request deletion (subject to accounting-record retention requirements). Email info@thesignpad.com.

Security

Traffic is served over HTTPS. Passwords are hashed (PBKDF2). The platform runs on a Hetzner Cloud server in the United States (Hillsboro, Oregon). Backups are encrypted at rest.
